A conference transport plan is a timetable with vehicles attached. Get the timetable right and the coaches follow.
Start with the venue, not the vehicle
Most corporate groups move between three points: the airport, the hotels and the venue. Map those first. Several of Europe's big fair grounds sit outside the centre. Barcelona's Fira Gran Via sits in L'Hospitalet de Llobregat, outside the city. IFEMA Madrid lies close to Barajas airport. Messe München is in Riem, with coach parking at Messestadt-Ost P+R. In Berlin, the ZOB coach station faces Messe Berlin. Each location shapes how many vehicles you need and where they wait.
What the rules require

Shuttle loops or fixed runs
For a one-day event, fixed runs are simplest: one run to the venue in the morning and one back in the evening. For a multi-day congress with delegates in several hotels, a loop works better. Coaches circle between hotel stops and the venue at set times. Give the operator hotel addresses, delegates per hotel and session times, and they will size the loop.
Driver rest on a multi-day programme
Drivers must rest. Each driver needs 11 hours' daily rest, which may be cut to 9 hours up to three times a week. On a congress that starts early and ends with a late dinner, one driver cannot cover both ends of every day. The operator either spaces the work or adds a second driver. Multi-day programmes have to be planned around rest periods from the start, not patched on the day.
Send the full programme, including gala dinners and optional evening events, when you ask for a quote. A late return added later can upset the plan.
City rules that affect venue drop-offs
In Paris, a coach needs a PASS Autocar to park. In Vienna, coaches cannot drive into the Innere Stadt, so a hotel there means a Ring set-down point. In Amsterdam, RAI is an edge-of-centre coach stop, with stop H40 near the venue. Ask the operator how the plan handles your city.

Work from the busiest movement, usually the morning run to the first session. Divide those delegates by the seats per vehicle, then add for scattered hotels.
Can one driver cover early starts and late dinners?
Not every day. A driver needs 11 hours off between shifts, or 9 hours on up to three days a week, so long days need a second driver or a split plan.
Where do coaches wait between runs?
That depends on the venue and the city. At Messe München, coaches use Messestadt-Ost P+R. Ask the operator where each coach will stand between runs.
