A school trip needs a coach that meets the rules and a plan that keeps pupils together. Teachers carry the responsibility, so get the details in writing before you book.
Seat belts, and how pupils are told
In buses and coaches, seat belts must be worn where fitted. Passengers must be told about the obligation, for example with pictograms at the seats. For a school group, do not rely on the pictograms alone. Brief pupils before departure, and have staff check belts before the coach moves off. Repeat the check after every stop.

Trips abroad: the licence and the journey form
A school trip that crosses a border is an international occasional coach service. The operator must hold a Community licence to run coach work between EU countries. A journey form travels on board for the whole trip. Ask the operator to confirm both. Settle the full itinerary before you leave, because changes on the road are harder to cover on the paperwork.
City exceptions for school groups
Some cities make room for school trips. In Rome, tourist coaches may not enter ZTL BUS C, the historic centre, though school trips count among the exceptions. Amsterdam keeps coaches heavier than 7.5 tonnes out of the S100 ring without an exemption, and groups of under-12s can qualify for one. Exceptions still have to be arranged, so ask the operator to apply in good time.
Elsewhere, plan to walk. In Prague, coaches stop at paid stands at the historic centre's edge. In Florence, coaches set down at designated coach stops. Count that walking time into the day.
Breaks on a long travel day
Once the driver has done 4.5 hours at the wheel, a break of 45 minutes or more is due. Plan it as the lunch stop, so pupils and driver rest together and the schedule holds.
