Map the day as a set of runs

Most wedding days have three runs: hotel to ceremony, ceremony to reception, and reception back to the hotels. Write each run down with a time, a pickup point and a headcount. If guests are in several hotels, list them all. The operator builds the vehicle plan from that list.

The late return and driver hours

The last run is the one that goes wrong. Working time limits cover the driver on a late-evening return, and the driver also needs a daily rest of 11 hours or more; only three times a week can it shrink to 9. If the same driver did the morning run, the operator may need a second driver for the night. Give them the real end time, not the hoped-for one.

Consider two return runs: an early one for older guests and families, and a later one for the rest. The evening stays calmer, and nobody is stranded.

Country venues and city rules

Many wedding venues are out of town. Greve in Chianti lies about 30 km from Florence. From Nice, Èze is about 12 km and Saint-Paul-de-Vence about 20 km. From Lisbon, Sintra and Cascais are each about 30 km. Narrow lanes can limit vehicle size, so a midi coach or minibus may suit better than a full coach. Ask the operator to check the route to the venue.

City rules still apply at the hotel end. In Florence, every coach needs a ZTL Bus contrassegno. In Dubrovnik, vehicles from 7+1 seats need a Bus Web Shop booking in season.

Questions

Can the coach wait during the reception?

It can, but waiting time counts toward the driver's working day. Separate runs, with the coach leaving in between, often work better.

What vehicle suits wedding guests?

For 29 to 35 guests, a midi coach fits well and is easier on narrow roads. For more, a full coach. The couple may want an executive car of their own.

How late can the last run be?

That depends on when the driver started. Working time limits apply to late returns, so give the operator the full day's timings.
